Check-in and check-out checklists: how student and long-stay residences stop losing money on damages

Damages and missing items are one of the largest silent costs in student and long-stay accommodation. Most operators absorb them. Digital check-in and check-out checklists, done properly, typically recover around €500 per student per year.

The pattern behind the leak

Ask any operations manager how check-outs are handled, and the answer is usually some version of the same story. A paper checklist gets filled in when the resident arrives. Twelve months later, at check-out, a staff member walks the room and jots down what looks damaged. The paper form goes into a folder. Photos live on a phone. Weeks or months later, someone tries to reconcile what was there on day one against what was there on the last day. By then the resident has moved out, deposits have been released, and half the evidence has evaporated.

The result is entirely predictable: real damages never get invoiced back. On average, operators leave a large share of recoverable costs on the table, every single year, on every single room.

What a proper check-in / check-out flow looks like

The fix is not more paperwork. It is fewer places for evidence to hide. A digital check-in / check-out flow works like this:

1. Digital check-in checklist with photos. On arrival, the resident (or staff) walks the room against a fixed asset list, bed, mattress, desk, chair, kitchen units, appliances, walls, floor. Every item gets a condition rating and a photo. The record is timestamped, tied to the reservation, and signed off in the app.
2. Same checklist at check-out, side by side. At check-out, the same asset list appears, with the check-in photos next to the check-out photos, item by item. Any difference is visible in seconds.
3. Damages costed on the spot. When an item is marked damaged or missing, a cost is attached from a maintained pricelist. There is no separate "figure out what to charge" step later.
4. Invoiced back automatically. Costs are pushed to the PMS deposit or issued as a check-out invoice, with the photo evidence attached. Disputes drop because the evidence is unarguable.

Why photos change the negotiation

Without dated, side-by-side photos, every damage conversation with a resident turns into a debate about who is remembering correctly. With side-by-side photos, the conversation is short. Most residents accept the charge because they can see it. The small number that dispute go through a documented process, not a scramble to find evidence six weeks after the fact.

The €500 figure, in plain language

The €500-per-student-per-year number is not a marketing rounding. It comes from doing the math on what a typical residence actually loses through absorbed damages, missing consumables, unrepaired minor wear that compounds into major repairs, and the maintenance labour that goes into fixing things nobody was charged for. On a 500-bed residence, that is €250,000 a year, enough on its own to pay for the operations platform many times over.

What to change on Monday

You do not need to overhaul the operation to start recovering damages. In order:

• Move check-in and check-out to a digital checklist tied to the reservation.
• Require photos on every asset, both at check-in and at check-out.
• Maintain a simple pricelist for the 30–50 items that get damaged most often.
• Push charges through the deposit or issue an invoice at check-out, never later.
• Review recovered vs absorbed damages per building, monthly. Make it a KPI.

Do that and, on any residence of meaningful size, the recovered damages will pay for the whole exercise inside the first year, and every year after that stops being a leak.
